1. Who we are
Angels Care Association is a non-profit association in Namibia that helps people facing serious illness with the costs their medical aid does not cover, and with guidance. We are responsible for the personal information collected through this website. You can reach us at [email protected].
2. What we collect
We only ask for what we need for the thing you are doing:
- Requests for support: your name, ID number, phone, email and town; if you ask on someone’s behalf, their name, ID number and your relationship to them; medical aid details, diagnosis, treatment, amounts and due dates; your story in your own words; and the documents you upload (such as ID copies, medical aid statements and doctors’ letters or quotes).
- Donations and monthly pledges: your name, email, phone (optional), the amount, the debit date you prefer, whether you would like a donation certificate, and any note you leave for us. We do not collect bank or card details on this website.
- Event tickets and waiting lists: your name, email and phone, and the names of the people the tickets are for.
- Photographs: we take photographs at our events and may publish them in our gallery (see section 8).
3. Why we use it
- To evaluate a request for support, contact you about it and, if we help, arrange that help.
- To record donations and pledges, match deposits, and create and send donation certificates when you ask for one.
- To issue tickets, manage entry at the door, and let you know if a seat frees up.
- To keep proper records as a non-profit association.
We never sell your information or use it for advertising.
4. How requests for support are evaluated
Every request is read by a person. To help us treat requests fairly and consistently, our system highlights things worth checking (for example a missing ID number, or an ID that has asked before) and, once we have enough past decisions, shows how similar requests were decided. This is a guide only: the decision is always made by people, often after consulting a medical expert.
5. Who sees your information
- Our team: the members of Angels Care Association who handle requests, donations and events.
- Medical experts we consult about a request, who see only what they need and are asked to keep it confidential.
- Service providers who run the website for us: Cloudflare (website hosting), Supabase (secure database and document storage) and Google (our email). Card payments, when offered, are handled by DPO Pay on their own secure page.
- Anyone we are required by law to share it with.
If we help with a medical cost, we may share the necessary details with the doctor, hospital or medical aid involved in order to make the payment.
6. How long we keep it
- Documents uploaded with a request are deleted within 12 months of the decision.
- The request itself and its outcome are kept for up to 5 years, so that we can keep proper records and treat future requests fairly.
- Donation, pledge and ticket records are kept for up to 5 years for our financial records.
- Waiting list entries are kept until the event has taken place.
7. How we protect it
Information is sent over encrypted connections. Requests and documents are stored in a private database and private storage that only our team can open, and documents are shared with the team through links that expire after a few minutes. The admin area is password protected.
8. Photographs at our events
We photograph our events to share the moments and show supporters what their kindness makes possible. Photos may appear in our gallery and on our social pages. If you would rather not appear, tell a team member on the day or email [email protected] and we will remove the photo.
9. Your choices and rights
You may ask us at any time to show you the information we hold about you, to correct it, or to delete it. We will do so unless we must keep a record by law. You may withdraw a request for support, or stop a monthly pledge, whenever you like. Email [email protected].
10. Cookies
We do not use advertising or tracking cookies. The admin area uses one cookie to keep the team signed in, and your browser may remember small preferences (for example that you have seen the welcome animation).
11. Changes to this policy
If we change this policy we will update this page and the date below.
